Where will you work?

The company you will work for is a worldwide company in the chemical sector with several locations in the Netherlands. Your working place will be Amsterdam.

Location: Amsterdam

Availability: full time

What are the deliverables? In this role you will be PA for three HR Directors.

You will provide support with wide ranging administrative support to ensure effective operation. In addition you might be asked to provide Program Management support through the creation and follow up of action items from meetings and the proactive monitoring of project budgets.

Activities and responsibilities:

  • Agenda management
  • Processing of e-mail, regular mail and other correspondence (in English & Dutch)
  • Ad hoc administrative or coordination tasks
  • Organization of (multi-party) meetings and travel arrangements
  • Processing of expense reports if requested
  • Managing the administration of vendor payments (creation of purchase orders, following up on payments and postings as necessary)
  • Attending team meetings, making and distributing action points and monitoring timely follow up
  • Monitoring budgets (correct allocation to Projects) and proactively creating analysis of run rates, forecast of year end etc.
  • Coordination of responses to unsolicited job applicants
  • Creating and managing a department Share Point site to improve efficiency and reduce e-mail traffic
  • Ad hoc administrative or coordination tasks

What is your profile?

  • Minimum HBO level. Secretarial degree an advantage
  • Minimum 7 years professional experience as a management assistant.
  • Ability to proactively collaborate with team members to ensure timely, efficient and accurate deliverables
  • High level of organizational savvy and organizational sensitivity
  • Strong oral, written and interpersonal communication skills to effectively work with all levels of the organization (in Dutch and English)
  • Ability to maintain high level of confidentiality and work with sensitive data and information
  • Proficiency in the use Microsoft Office (Word, Excel, PowerPoint) and SAP SRM, Concur and similar programs
  • Proven basic project management skills to organize and follow through on actions
  • An open, approachable and helpful team player able to work in an inclusive way
  • Excellent prioritization skills and ability to independently seek solutions
